Practitioner Hours

The Practitioner Hours section allows you to set opening and closing times on the diary for each practitioner along with lunch break times, New patient times and Base times for online booking. It also allows you to colour code certain times during the day, for example weekly staff meetings etc.

When you create a practitioner they are given certain default opening, closing and lunch times. Use this section to alter these.

If you have more than one practitioner in your system, to avoid confusion the hours are only visible on the day view of the diary. If you have only one practitioner they are also visible on the week view.

In the screen, you will see the colour that closed and lunch times are coloured with. Click in the coloured box to choose another colour.

Active practitioners will have a tab listing all their set hours. Click on their name to change the practitioner. If a practitioner is not working on a day, tick the “Not working” box. If they are working set the time that they start for the day under “Starts” and the time that they finish for the day under “Finishes”.

If a practitioner does not have a lunch break on a given day, tick the “No lunch” box, otherwise select the start and finish times of their lunch breaks.

For New patient only times select the start time for the first and second slots. Set the duration in minutes in the box at the end of each row. The same duration applies to each slot on that day (i.e. you can't select 60 mins for the morning and 90 mins for the afternoon). Tick the box if you don't want a new patient only time for that day.

For the Base times select the time from the drop down list. If not Base times are set for a given day, the online booking system will make all the free appointments available for that day available online, that is it will resort to the Basic setting for online booking.

Be sure to click “Update” at the bottom of the screen to save any changes.

To add special times to the diary such as staff meetings, certain hours in different practices and the like, click on New at the bottom of the page.

Enter the Title of the event (this is what will show on the diary), the practitioner you wish it to apply to, the days it should be displayed on, start and end times, and the colour it should be. Set the colour by clicking in the coloured box and choosing a colour. Click Add to save and Cancel to cancel.

Any special times that you add are displayed below the practitioner’s opening and lunch times. If you wish to remove one of the special times, click Delete on the line of the entry.
